Hey there! We get it - privacy policies can be a real snooze-fest, but this stuff matters. At Elunar Method Odyssey, we're pretty serious about keeping your info safe while you're on your fitness journey with us. We've tried to keep this straightforward and honest, 'cause nobody's got time for confusing legal jargon.
Alright, so here's what we're gathering when you work with us. Nothing sketchy, just what we need to help you crush your fitness goals and keep things running smooth.
Personal stuff you give us: Your name, email, phone number, address - basically how we can reach you when we need to schedule sessions or send you important updates. If you're signing up for nutritional consultation, we'll ask about dietary preferences and any health conditions we should know about.
Membership details: Payment info, membership type, which programs you're enrolled in, and your session history. We keep track of this so we can provide the best service and remember your preferences.
Health and fitness data: If you're doing personal training or athletic performance work with us, we might collect fitness assessments, body measurements, goals you've set, and progress notes. This helps us tailor your program and actually see how far you've come.
Technical bits: When you visit our website, we collect standard web stuff like your IP address, browser type, and how you navigate around. Helps us make the site better and catch any technical hiccups.
We're not just collecting this for fun - here's what we actually do with it:
Running your programs: We use your info to schedule sessions, track your progress, customize your workouts and meal plans, and basically make sure you're getting what you signed up for. Can't do holistic fitness transformation without knowing where you're starting from, right?
Communication: Sending you appointment reminders, class updates, changes to schedules, and answering your questions. Sometimes we'll reach out with tips or new program offerings we think you'd dig, but you can always opt out of that stuff.
Payment processing: Gotta handle those membership fees and session payments. We work with secure payment processors and don't store your full credit card details on our systems.
Improving what we do: Looking at trends in what programs people love, feedback we get, and how folks use our services helps us get better at what we do. All analyzed in aggregate though - we're not singling anyone out.
Legal stuff: Sometimes we gotta use your info to comply with laws, handle disputes, or enforce our policies. Hopefully we never need to, but it's there if required.
We're pretty protective of your info, but there are a few situations where we share it with others:
Service providers: We work with third-party companies for things like payment processing, email services, and scheduling software. They only get access to what they need to do their job, and they're bound by confidentiality agreements.
Healthcare professionals: If you're working with us on medical fitness or injury recovery and you've given us permission, we might share relevant info with your doctor, physiotherapist, or other healthcare providers. Always with your okay first.
Legal requirements: If the law requires it or we've got a valid legal request, we might need to disclose your information. We're talking court orders, subpoenas, that kind of thing.
Business transfers: In the unlikely event we sell or merge the business, your info would be part of that transfer. Any new owner would still be bound by this privacy policy though.
We do NOT sell your personal information to marketers or random companies. That's not our style.
Yeah, we use cookies - and not the chocolate chip kind, unfortunately. These are small files that help our website work better and remember your preferences.
Essential cookies: These keep the site functioning properly. Things like remembering you're logged in or what's in your cart if you're buying a membership online.
Analytics cookies: Help us understand how people use the site - which pages are popular, where folks are getting stuck, how long they stick around. We use this to make improvements.
Preference cookies: Remember your settings and choices so you don't have to re-enter them every time you visit.
You can adjust your browser settings to refuse cookies if you want, but heads up - some parts of the site might not work as smoothly.
We take security seriously around here. Your trust means everything to us, so we've put solid measures in place to protect your data:
Encryption: We use SSL encryption for data transmitted through our website. That means your info is scrambled when it's moving between your device and our servers.
Access controls: Only staff members who actually need access to your information get it. Everyone on our team signs confidentiality agreements and gets trained on privacy practices.
Secure storage: Your data is stored on secure servers with firewalls and other protective measures. We regularly update our security protocols to stay ahead of potential threats.
Regular backups: We back up data regularly so we don't lose your information if something goes wrong technically.
That said, no system is 100% bulletproof. We do our absolute best, but we can't guarantee complete security. If we ever experience a data breach that affects you, we'll let you know ASAP.
It's your data, and you've got rights when it comes to how we handle it. Here's what you can do:
Access your info: You can request a copy of the personal information we have about you. Just shoot us an email and we'll get that over to you.
Correct inaccuracies: If something we have on file is wrong, let us know and we'll fix it. We want your records to be accurate anyway.
Delete your data: You can ask us to delete your personal information. There might be some stuff we're legally required to keep for a certain period, but we'll wipe what we can.
Opt out of marketing: Don't wanna hear from us about new programs or special offers? No problem - every email we send has an unsubscribe link, or just let us know directly.
Withdraw consent: If you've given us permission for something specific (like sharing info with your healthcare provider), you can take that back anytime.
Under Canadian privacy law (PIPEDA), you've got the right to file a complaint with the Privacy Commissioner if you think we're not handling your info properly. We'd rather work it out with you directly though, so reach out to us first.
We don't keep your information forever - that'd be weird and unnecessary. Here's our general approach:
Active members: We keep your full records for as long as you're training with us. Makes sense, right? Can't help you progress if we delete your history.
After you leave: Once your membership ends, we'll keep basic information (name, contact details, membership history) for about 7 years. This is partly for legal and accounting reasons, and partly so we have some context if you come back to us down the road.
Health and fitness data: Your workout logs, fitness assessments, and progress notes stick around for about 3 years after your last session. Helps us if you return and want to pick up where you left off.
Marketing data: If you've opted into our mailing list but never became a member, we'll keep that for about 2 years of inactivity before cleaning it out.
You can always ask us to delete your data sooner - just keep in mind we might need to retain some stuff for legal compliance.
Our programs are designed for adults, and we don't knowingly collect information from kids under 13 without parental consent. If a parent or guardian wants to sign up their teen (13-17) for our programs, we'll need the parent to provide the information and consent to the collection.
For youth athletic training programs, we require a parent or legal guardian to complete all forms and provide consent before we work with anyone under 18. We take extra care with younger clients' information and only collect what's necessary for their training program.
If we somehow find out we've collected info from a child under 13 without proper consent, we'll delete it right away. If you think this has happened, please contact us immediately.
Look, things change. Laws get updated, we add new services, technology evolves. When we need to update this privacy policy, we'll post the new version here and update the date at the top.
If we make any major changes - like how we use your data or who we share it with - we'll give you a heads up via email or a notice on our website. We won't just sneak changes in and hope you don't notice.
We recommend checking back here once in a while, especially if it's been a few months since you last looked. The date at the top will tell you when we last made updates.
Got questions about this privacy policy or how we're handling your information? We're here to help. Seriously, don't hesitate to reach out - we'd rather answer questions than have you worrying about your data.
